Google has unveiled a significant expansion of Gemini-powered AI functionalities across its core Workspace applications: Docs, Sheets, Slides, and Drive. These innovative capabilities empower users to rapidly produce fully formatted initial drafts, presentations, and spreadsheets by leveraging information drawn directly from their Gmail, Chat, and Drive content.

This suite of tools is meticulously designed to enhance the personalization and efficiency of these applications, enabling users to accomplish tasks more swiftly and seamlessly within the platforms themselves, thereby eliminating the need to transition to external tools or chatbots.

Introducing the new “Help me create” feature within Docs, users can simply articulate their desired output. Gemini will then interpret these instructions and intelligently compile relevant information from Drive, Gmail, and Chat to construct a comprehensive first draft. For instance, a user could prompt Gemini to “draft a newsletter for our neighborhood association using the meeting minutes from my January HOA meeting and the list of upcoming events.”

Following the generation of an initial draft, Gemini offers the ability to refine specific sections without requiring a complete regeneration of the document. Additionally, the “Help me write” tool is available to enhance clarity or integrate further details as necessary.

Furthermore, for collaborative projects involving multiple contributors with varied writing styles and tones, a new “Match writing style” feature has been introduced to foster document uniformity. Gemini will intelligently propose edits to ensure a consistent tone and voice across the entire draft.

Docs will also receive a new “Match the format” tool, enabling users to replicate the structure and style of an existing document. An illustrative use case involves finding a preferred travel itinerary template; Gemini can then populate it with personal trip details by extracting relevant information from emails, including flight confirmations, hotel bookings, and rental car reservations.

In Sheets, Gemini is transforming from a functional tool into a dynamic collaborative partner, as articulated by Google. A simple prompt will now enable it to retrieve pertinent data from across Gmail, Chat, and Drive, facilitating the rapid creation of a fully formatted spreadsheet.

For instance, users could instruct it to “organize my upcoming move to Chicago. Create a checklist for packing by room, a contact list for utilities, and a spreadsheet to track moving company quotes from my inbox.”

Addressing more intricate data management, the new “Fill with Gemini” tool allows for even quicker table population. This feature is capable of instantly generating custom text, categorizing and summarizing data, or integrating real-time information directly from Google Search.

Consider managing college applications with a detailed tracker. Rather than manually researching each institution’s deadlines, tuition fees, and other specifics, users can simply define column headers for the required information, allowing Gemini to automatically populate the table by retrieving pertinent data from the web.

Shifting to Slides, Gemini can now generate fully editable slides that seamlessly integrate with your presentation’s overall theme, drawing contextual information from your files, emails, and the broader web. Should a slide require modification, users can direct Gemini to adjust it with prompts such as “match the colors to the rest of my deck” or “make this more minimal.”

Looking ahead, Google indicates that Slides will empower users to construct entire presentations from a single prompt, intelligently incorporating relevant contextual information as needed. An example would be instructing Gemini to “create a 5-slide deck for my upcoming Tokyo trip.”

Google further revealed its ambition to transform Drive from a mere file repository into an active collaborative partner. Now, when users perform natural language searches within Drive, Gemini will present an “AI Overview” at the top of the results, mirroring the functionality found in Google Search. This overview condenses the most pertinent information from your files, complete with source citations, thereby eliminating the need to open multiple documents to locate specific details.

A new “Ask Gemini in Drive” feature facilitates complex inquiries across a user’s documents, emails, calendar, and the broader web. For instance, one could select all tax-related files and pose the question, “What should I ask my tax advisor before filing this year’s taxes?” receiving a detailed, data-driven response.

These comprehensive new features are commencing their rollout today in beta phase, initially accessible to Google AI Ultra and Pro subscribers. They are globally available in English for Docs, Sheets, and Slides, with the Drive functionalities currently confined to the U.S. market.
