Google is significantly enhancing the integration of its Gemini AI assistant across its Workspace applications. These new capabilities, available to Google Workspace and AI plan subscribers, introduce a dedicated Gemini chat interface within Google Docs, the ability to generate complete spreadsheets using AI, and an advanced Gemini-driven search functionality in Drive.

Building on existing AI writing prompts that appear in Google Docs, users will now encounter a persistent Gemini chat window at the bottom of their screen. This interface allows users to simply describe their desired document, prompting the AI assistant to synthesize information from the web, Drive, Gmail, and Chat to produce a fully formatted draft. Furthermore, Gemini can be instructed to replicate the formatting of an existing document, streamlining the styling and structural editing process for new creations.

Enhancements are also being rolled out to Gemini's editing capabilities within Docs. For collaborative documents, users can now highlight a colleague's text and select “Match writing style,” enabling Gemini to analyze the document's overall tone and adjust the selected text to align accordingly. Additionally, Gemini can implement document-wide changes based on a user prompt, presenting these suggestions in-line, much like a human editor. Google emphasizes that these proposed changes remain private until explicitly approved by the user.

Commenting on this significant rollout, Yulie Kwon Kim, Google’s VP of Product for Workspace, stated that the company's objective is to integrate Gemini directly “in the places where people work,” eliminating the need for users to switch to separate applications or websites. Kwon Kim elaborated, “When you are, for example, wanting to write a report, or write a customer brief, people are turning to Docs. You can get the assistance from Gemini right where you are in your familiar place, where you’re doing your everyday work.”

Gemini's influence is also expanding significantly within Google Sheets. Users can now instruct Gemini to generate complete spreadsheets, beyond mere tables, simply by describing their requirements. The AI will leverage data from personal files, emails, chats, and the broader web to construct these spreadsheets. Furthermore, Gemini can populate tables with information drawn from existing spreadsheets or online sources, an advancement that surpasses the AI functionalities introduced last year.

During a recent briefing, Google demonstrated Gemini's capability to search for and automatically populate spreadsheet columns with details such as locations, revenue, and market capitalization for a specified list of companies. An upcoming Sheets feature will also empower users to tackle “analytical tasks” by articulating their needs within the app’s side panel. Google's announcement highlighted an example: “For instance, you can ask Gemini to optimize your weekly employee scheduling to maximize profit while balancing staff availability and required skills.”

Concurrently, a Gemini-enhanced upgrade for Google Slides will enable users to request the AI assistant to generate individual slides. Gemini can automatically insert content and format the slide to seamlessly integrate with the existing presentation deck. Users can also prompt Gemini to edit slides, thereby reducing the need for manual text or image formatting. Google has also indicated plans to “soon” introduce the capability to generate entire presentations based on a text prompt and relevant Workspace data.

Addressing challenges in file management across Workspace, Google is introducing a solution that aims to transform Drive from a “passive storage container into an active knowledge base.” When users perform natural language searches for files in Drive, they will now receive an AI Overview, akin to the feature in Google Search. However, this overview will summarize relevant documents or answer questions with citations from internal files, rather than web results. A new “Ask Gemini in Drive” feature further allows users to query the AI assistant about their stored files, or information contained within Gmail, Calendar, and Chat. Google affirms that users can “control which sources are included in your search” and refine their focus to specific folder groups.

Google confirms that these new functionalities will incorporate the same “enterprise-grade data protections as the rest of Workspace.” The update is currently being deployed in English to Google AI Pro and Ultra subscribers, alongside Workspace customers who have Gemini Alpha enabled.
